TERMS & CONDITIONS
STUDIO POLICY - CANCELLATIONS, LESSON CREDITS AND PAYMENT.
Consultation: Your initial consultation/trial lesson places you under no obligation other than to settle any agreed payment of the consultation/trial lesson itself. You will be contacted by email to arrange a convenient time. This will not be billed until an agreed time has been scheduled for you. You will be under no obligation to proceed with any further lessons or payments if you decide for whatever reason that you do not wish to take your music education with us any further than the consultation/trial lesson.
School Trial Lessons: In the case of tuition in Schools where we have offered a trial lesson or course of trial lessons instead of a consultation, you are under no obligation other than to settle any agreed payment for the trial lessons arranged. If you do not wish to proceed with lessons after the trial period, you must let us know in writing at least three working days before the next scheduled occurrence of lesson would be due to take place. Lessons progressing beyond the ‘trial period’ will default to ‘active’ and be subject to the usual terms and conditions unless a notice to quit is received.
If you decide to progress with lessons after your initial consultation/trial period or commence immediately with lessons then you will be deemed to have accepted our Studio Policy and Terms & Conditions. These will be available for you to download on our portal and available on the website.
1. Fees
Lesson fees are subject to annual review.
2. Missed lessons
Any lesson missed by the student shall be paid for unless otherwise agreed with the teacher. If the teacher is unavailable to give any scheduled lesson, the lesson will be carried forward to another date. If this is not possible, any fee already paid will be refunded or used to pay for a future lesson. * also see Studio Policy: Cancellations, Lesson Credits and Payment.
3. lessons
a) We aim to deliver three ten week teaching periods a year corresponding closely with the LEA School calendar. Some terms may be longer and some may be shorter. Certification, rehearsal and performance may fall outside these periods.
b) Extra lessons may be scheduled during holiday periods or at any other time by mutual agreement.
c) Scheduling takes place on a rolling basis from one term to the next. We will assume a continuation of the established lesson schedule unless we are notified to the contrary in writing. We ask for a six-lesson notice period should you wish to quit, in order that we may provide some income stability for our teachers and manage our resources effectively.
4. Termination of Agreement
a) A decision to discontinue lessons may be taken by the student/parent/guardian or the teacher in which case six weeks’ written notice shall be given by the party seeking to discontinue. In the event that the student discontinues lessons with insufficient notice, the student/parent/guardian will be liable to pay fees for those lessons not taken during the notice period. A ‘week’ is classed as a 'teaching week'. i.e. The notice period is Six lessons: giving notice before lesson 10 will mean stopping after lesson 5 of the following term.
b) We reserve the right to terminate a contract and block portal access with immediate effect in the unlikely event that a client presents with behaviour that is disruptive, abusive or non compliant regarding payment. In such an unlikely event the client will remain liable for any outstanding fees.
5. General
a) The student/parent/guardian agrees to pay for any music/strings/repairs etc. required by the student and provided by the teacher.
b) The student/parent/guardian will be responsible for any loss or damage incurred to any instrument, accessory or music loaned by the teacher to the student. Such items will be returned on request to the teacher.
c) The student/parent/guardian undertakes not to make photocopies of any music.
d) Students will be offered the option of certification/rehearsal/ performance, only when they have reached the required standard. Any entry fees for such examination/certification/rehearsal/performance and festivals will be paid by the student/parent/guardian.
e) The student/parent/guardian is responsible for the insurance of the student’s instrument.
f) In the interests of the student’s well-being whilst in the teacher’s care, the teacher must be informed of any medical or other condition affecting the student.
g) If the student is under eighteen, the parent/guardian gives permission for the teacher to teach the student.
h) We are not responsible for any person under 18 years of age before and after the tuition period.
i) Group classes will only proceed with a minimum size group. In the event that a group falls below the minimum number we may reorder the groups. If the minimum cannot be achieved members will be refunded for any tuition not received, in full.
j) Groups and classes may be rearranged to better match skill sets, resources and to prepare for certification, rehearsal and performance.
Photos, Media and Publicity.
a) From time to time we may use photos of pupils and staff for publicity purposes. You are confirming that you agree with this. If you wish to opt out of this clause please do so in writing to info@gigabull.co.uk giving full details of the people to be excluded.
b) From time to time we may make audio / visual recordings of pupils and staff. You are confirming that We may use these for publicity purposes. If you wish to opt out of this clause please do so in writing to info@gigabull.co.uk giving full details of the people to be excluded.
Safety: I confirm that I have and read the advice regarding hearing protection available to view at www.gigabull.co.uk under ‘safety’.
NOTES FOR GUIDANCE
• It is important to note that whilst a teacher endeavours to ensure the student makes satisfactory progress, this cannot be guaranteed. In particular, careful regular practice as advised by the teacher is a prerequisite of success on a musical instrument.
STUDIO POLICY
CANCELLATIONS, MAKE UP CREDITS & PAYMENT.
Lessons are charged in advance:
Payments are on the 1st of the month by AutoPay from your registered payment card, where AutoPay has been activated.
Invoices can also be paid manually by clicking the link on the invoice.
Late payments after the invoice due date (currently 10th of the month) are subject to a £5.00 fee.
Ticking the AutoPay box on your account will ensure you avoid late payment fees: Login to the portal at gigabull.co.uk, click the question mark symbol in the top right corner, search for ‘what is Auto pay’ and follow the instructions to set up.
Monthly fees fluctuate and are based on what the client has in their lesson schedule. A running balance of charges is always available for clients to see within their account: accounts and invoices under the invoices tab.
For your security Payment cards are kept by Stripe and not Gigabull Ltd.
We do not take cash or bank transfers.
All cancellations must be made using the portal.
Lessons cancelled more than 24 hours in advance of the scheduled time on the portal generate a lesson ‘makeup credit’ on your account.
A ‘make up credit’ is a token which you can redeem by booking a slot created by another student’s cancellation. It is not a cash refund and does not put money back into your account. Make Up Credits on your account do not mean that we owe you money, they simply mean that we are giving you the opportunity to make back lost time at no extra cost when/if another client cancels.
We are obliged to pay our teachers for any lesson missed by the client, where an alternative arrangement has not been agreed.
Lessons cancelled on the portal generate an open lesson for another pupil to book using lesson ‘make up credits’ they may have. These can be identified on the calendar by the recycle symbol.
Lesson credits will expire after 90 days if not used.
Lesson credits follow the teacher you are assigned to and are not transferable.
Since makeup sessions are generated by other pupils’ cancellations, it is not guaranteed one will be available for you to rebook, therefore we advise you to use the cancellation/lesson credit system sparingly.
It is the client's responsibility to notify us of any dates they or their child cannot attend, do not assume that your Child’s School has notified us of an event that may clash.
Dates you give to us before the start of term, notifying of times you cannot make, will be marked by us as 'Absent - advanced notice' and do not generate any charge on your account.
If you would like to amend the timing of your scheduled lessons please apply in writing to info@gigabull.co.uk or directly to tina@gigabull.co.uk. We will do whatever we can to accommodate your request.
Please note that an email requesting a change in your lesson schedule does not suffice as notice to cancel a lesson as email cannot always be acted upon in a timely manner. If you need to cancel a lesson before the 24hr deadline, this must be done by the client on the portal in order to generate an automatic ‘make up credit’.
Group coaching: We cannot offer make up credits for group members who cancel a prearranged session. This is because the group is dependent on all members being in the same place at the same time and because our overheads for groups are fixed.
